Commercial Refrigeration

Reach-ins, prep tables, and the cases your customers see.

Polar Express repairs commercial reach-in refrigerators across the San Antonio metro, with 24/7 emergency dispatch and same-day service on most repair calls. One flat-rate price is approved in writing before work begins for prep tables, undercounters, back-bar boxes, cases, and merchandisers. TDLR license TACLA00127982C.

The equipment on your line fails more often than the walk-in and gets a fraction of the attention. Most of these calls close on the first visit.

The equipment on your line does not get the attention the walk-in gets, and it fails more often. Reach-in coolers, sandwich and pizza prep tables, undercounters, back-bar boxes, and glass-door merchandisers all run small self-contained systems in the hottest, greasiest part of the building, usually with a condenser six inches off the floor pulling in whatever the kitchen puts in the air. Polar Express services front-of-house and back-of-house refrigeration across San Antonio on every major brand, and most of these calls are single-visit repairs rather than multi-day projects, because the parts that fail on this equipment are the parts a technician already carries.

What we handle

Reach-In & Display Case Repair covers more than one failure.

The complaint that gets called in is rarely the whole job. These are the things a technician is actually looking at on this equipment.

  • Reach-ins, undercounters, and back-bar

Single, double, and triple-door cabinets, bar boxes, and undercounters that have stopped holding a usable temperature.

  • Prep tables and sandwich units

Rail temperatures that will not hold, sweating lids, iced evaporators, and pans sitting above safe temperature in the middle of service.

  • Glass-door merchandisers

Fogging and sweating doors, failed anti-condensate heaters, lighting failures, and cases that ice over where every customer can see it.

  • Condensers, fans, and airflow

The single most common cause of failure on self-contained equipment: a condenser choked with grease and dust in a space with no clearance.

  • Controls, thermostats, and defrost

Electronic controllers, defrost timers, door switches, and sensors that read the wrong thing and cycle the cabinet wrong because of it.

  • Doors, gaskets, and hinges

Gasket replacement, door alignment, hinge and closer repair, and the sweating that starts the moment a door stops sealing flat.

Signs and causes

What you are seeing, and what usually causes it.

Read these before you call. Knowing which one matches gets the right parts on the truck, and a couple of them are worth acting on in the next ten minutes.

  • The unit sweats or the glass fogs

Condensation on a cabinet or a glass door means warm humid air is meeting a cold surface where it should not. A failed anti-condensate heater, a worn gasket, or a door that no longer closes square are the usual causes, and on a display case it costs you the sale before it costs you the product.

  • Prep rails run warm while the base stays cold

Rail and base are often served differently, so a warm rail over a cold cabinet points at airflow, a blocked return, overfilled pans, or lids left open through service rather than a system failure. It still has to be corrected, because the rail is exactly where an inspector puts the probe.

  • The condenser is packed with grease and dust

This is the most common thing we find on self-contained equipment and it is almost entirely preventable. A dirty condenser raises head pressure, shortens compressor life, and makes the cabinet run warm on precisely the days you cannot afford it to.

  • The cabinet freezes product it should only chill

Lettuce freezing in a reach-in points at a control or sensor problem, a cycle that is not terminating, or a sensor sitting in the wrong part of the airflow. It wastes product just as surely as a warm box does, and it is often the cheapest repair on the ticket.

  • One shelf or one corner runs warm

Uneven temperature inside a cabinet is an airflow story: a failed evaporator fan, blocked vents, product stacked against the return, or a partially iced coil. Rearranging the shelves around it is a workaround, and the underlying fault keeps growing.

What it costs

You approve the price before the work starts.

Self-contained equipment is usually the least expensive refrigeration on your invoice and the most expensive to ignore. Because these units are small and repeatable, a technician can often diagnose and fix one within a single visit, which is why we quote them as a flat rate for the repair rather than an open-ended hourly ticket. You hear the price and the reasoning before the work starts, and when a fifteen-year-old undercounter is not worth the part, we say that too.

What moves the number

  • Which unit and which system, since a prep rail and a merchandiser door are unrelated repairs
  • Whether the fault is mechanical, electrical, or a control and sensor issue
  • Part availability, which varies more on older and imported cabinets
  • How many units get serviced on the same visit
  • Whether a full condenser cleaning and new gaskets are added while we are on site
  • A scheduled visit versus an emergency call in the middle of service

How the job runs

What happens between your call and a working system.

  1. Step 1

Work the line, not just the one that failed

With a technician already on site, checking the neighboring units costs very little and catches the next failure while it is still a cleaning. Operators who let us do that spend less across a year, and we will tell you what we find either way.

  2. Step 2

Clean and measure before replacing anything

A large share of reach-in calls resolve with a proper condenser cleaning and a gasket. We do that first and re-measure, so nobody buys a part that an airflow problem was only pretending to need.

  3. Step 3

Repair on the visit wherever possible

Common motors, controls, gaskets, and door hardware travel with the technician. When a part genuinely has to be ordered, you get the timeline and a plan for keeping product safe until it lands.

Questions

Straight answers, before you call.

The most common cause by a wide margin is a dirty condenser coil. Self-contained units pull air through a small coil at floor or ceiling level in a kitchen full of grease and dust, and once that coil is blanketed the system cannot reject heat. Worn gaskets, doors out of alignment, and failed evaporator fan motors are the next three, in roughly that order.

Whenever they stop sealing, which on a busy line happens sooner than most operators expect. A gasket that is torn, hardened, or no longer pulls flat lets warm humid air into the cabinet continuously, which raises run time, ices the coil, and shows up on the power bill. It is one of the cheapest repairs in the building and one of the most deferred.

Yes, and we schedule around your service window whenever the fault allows it. Front-of-house work gets done cleanly and quietly, and if a repair is going to be disruptive we tell you before starting so you can pick a better hour. For a case with product in it, the first thing we settle is where that product goes while we work.

Often yes, because what fails on prep tables is usually controls, fans, and gaskets rather than compressors. Once the compressor itself is going on a cabinet that age, the math changes, and we lay it out: the repair price, what else on the unit is near the end of its life, and what a comparable replacement costs installed. Then it is your call, not ours.

Standing water in the bottom of a cabinet is almost always a drain problem: a blocked or slimed drain line, a drain pan that has shifted out of position, or a unit that is not sitting level. Ice on the coil melting during defrost with nowhere to go creates the same puddle. It is a quick fix that becomes an inspection finding once it is left alone.

Polar Express provides one written flat-rate price for reach-in refrigerator repair in San Antonio, approved before work begins. The total depends on the cabinet type, whether the failure is mechanical, electrical, or control-related, and the availability of the needed fan, gasket, thermostat, or refrigeration component. Multiple units can be scoped during the same visit.

Polar Express offers same-day service on most reach-in refrigeration repair calls across San Antonio and 24/7 emergency dispatch for product-threatening failures. The person answering the phone provides a real arrival window based on the route, case temperature, product risk, and whether the repair can be scheduled around the business operating window.
